The Representative Admin is responsible for the administration of the Wyndham Basketball Association’s VJBL and Big V programs. The role focuses on managing the day-to-day administrative tasks to ensure smooth operations of these representative programs.
Roles and Responsibilities - Representative Program Administration (Big V & VJBL)
Serve as the primary administrative contact for the VJBL & Big V representative programs.
Handle all player registrations, PTTs, clearances, and related inquiries.
Complete all VJBL & Big V nomination/registration forms.
Coordinate pre-tryout sessions and information sessions for parents and teams.
Support the administrative aspects of Big V and VJBL tryout operations.
Manage registration processes for coaches, assistant coaches, and team managers, including WWC information and statutory declarations.
Maintain an up-to-date database of all VJBL/Big V coach and team manager contact information.
Coordinate education sessions for parents on score bench roles and responsibilities.
Distribute and maintain the Team Manager guide, with instructions on role performance.
Co-Ordinate and oversee Game Day Staff for Big V Games.
Support the ordering, distribution and stock management for uniform and merchandise items.
NBL 3x3 Hustle Franchise
Coordinate the Wyndham Basketball 3x3 Hustle Franchise
Act as event manager for all 3x3 Hustle Wyndham Basketball events
Manage all player registrations and Pro Hustle contracts
Work with WBA Marketing & Communications staff to promote 3x3 Hustle events
Work closely with the NBL to ensure full compliance of all 3x3 Hustle operations
Recruit and train event staff and volunteers in order to host 3x3 Hustle events
Coordinate the operational and logistical aspects on all 3x3 Hustle events and promotions
Manage all 3x3 Hustle merchandise sales
Develop and manage the annual 3x3 Hustle events calendar
Take the lead on 3x3 Hustle as Wyndham Basketball’s Head coach of 3x3 Basketball
Customer Service and Relationship Management
Respond to incoming phone calls and emails, ensuring all inquiries are addressed promptly.
Assist members with online registration processes.
Develop and maintain strong relationships with WBA affiliates, including VJBL, Big V, BV, and BA.
Other Administrative Duties
Provide regular reports to the General Manager / Wyndham Basketball Executive Committee
Perform other administrative tasks as required by General Manager / Wyndham Basketball Executive Committee
Selection and Appointment Criteria
Essential:
Experience in business administration, preferably in sports.
High level of organizational skills and attention to detail.
Strong verbal and written communication skills.
Proficiency in data management, particularly using MS Excel.
Ability to work autonomously and as part of a team.
Working with Children Check.
Police Record Check.
Desirable:
Understanding of basketball and community sport in Victoria/Australia.
Experience with Play HQ.
Experience in creating high-standard presentation materials.
