Description

An opportunity exists for an Events Coordinator to join the organisation and manage events delivery through professional administration for SwimmingSA. The position will develop and lead delivery of all competitions and events conducted by SwimmingSA aligned to the vision and mission of the organisation. The position is also the key source of assistance to clubs in successfully coordinating their carnivals. You will be a key contact for all swimming industry stakeholders ensuring a high-quality customer service is available including liaison with various venues and partners such as local councils and contractors. You will be part of a team providing consumer-led thinking to improve the event experience for participants and supporters. To be considered for this role, you will be an experienced and passionate event specialist who is both hands-on and strategic.

Key Responsibilities

The Event Coordinator is responsible for event related projects required to deliver SwimmingSA’s calendar of events including the following accountabilities.

Planning, Procedures, and Policies

  • Participate in and facilitate the needs of the SwimmingSA Competitions Committee and Technical Committee
  • Planning and design of events calendar in conjunction with Competitions Committee and developmebt of event services delivery plan
  • Lead and engage with internal staff, volunteers, and committees to deliver outputs for events
  • Lead and manage a sustainable event budget
  • Maintain a WHS, COVID-19 and Child Safe Environment.
  • Review of Event related policies and procedures and assets

Marketing and Communications

  • To create the annual branding look and feel for SwimmingSA publications
  • Identify partnerships and implement marketing and communication strategy for the sport at events
  • Develop and drive sport exposure at events across South Australia including leading local program activation events
  • Lead the implementation of National Event activities in South Australia in collaboration with Swimming Australia
  • Facilitate media calls and event launches as required for major events
  • Create and deliver live streaming content and in-venue production for major events

Member Services

  • Liaison with clubs to assist them with carnival coordination
  • Work collaboratively with clubs and regions to ensure best practice events are delivered across SA
  • Connect with and support clubs and regions with training and education opportunities to ensure events have a strong level of consistency for members in particular club nomination officers and carnival directors
  • Support the CEO to ensure regular reporting of operational event outcomes to the SwimmingSA Board and Members

Data Management

  • To maintain, coordinate and publish the SwimmingSA website and Facebook in collaboration with other staff
  • Ensure Online Meet Results and Entry systems are up to date
  • Ensure Team Manager and Meet Manager Programs are current
  • Maintain the accreditation and ticketing CRM

Event Operations

  • Coordination and lead role in planning and delivering multiple minor and major events annually
  • Undertake meet director duties
  • Deliver all event requirements including accreditation, ticketing, contractors, venues, sport presentation, communications & volunteers

General Responsibilities

  • Have an ability to:
    • think outside the square and contribute to the ongoing development across all events ensuring SwimmingSA provides industry leading events
    • travel within South Australia to ensure events growth along with relationship development and support for clubs and councils.
    • work both independently and as part of a team and perform other tasks as directed by the CEO
  • Exercise appropriate care and responsibility in respect of the positions own work environment, other employees of Swimming SA and the public generally consistent with an employee’s duties of care under the Work Health and Safety Regulations
  • Other projects and administration tasks as required for the SwimmingSA team

Essential Requirements

  • Working with Children / Working with Vulnerable People Check
  • Drivers Licence
