Organisational Overview

The NSW Athletics Partnership (NSWAP) entails Little Athletics NSW (LANSW) and Athletics NSW (ANSW) delivering the first entirely unified and single Athletics offering in NSW in 56 years and has three main components:

  • A single Affiliation structure
  • A single Membership offering 
  • A single Championship and Events pathway. 

The NSWAP ensures the removal of duplicated membership costs and administration processes, while also significantly expanding competition opportunities and pathways for all members by providing everyone with the best that both LANSW and ANSW have to offer. 

In conjunction with LANSW, we provide the framework for over 51,000 registered members and participants to enjoy athletics at all levels of performance, working closely with our 230+ member centres and clubs for the best interests of the sport of athletics throughout NSW.

As a result of this Partnership, our sport is currently experiencing a surge in popularity and in participation and performances and together we are poised to build on the momentum of this summer to inspire the next generation of athletes and fans and to continue growing the sport in NSW.

The Role

Athletics NSW is seeking a proactive and organised Office & Administration Coordinator to join our team in a broad and varied role that supports several senior managers across different departments.

Reporting to the Office & Administration Manager, you will be a central figure in ensuring smooth daily functioning of the office, handling a wide range of tasks from taking and directing member phone calls and online enquiries, providing administrational support for the Community, Corporate and Performance & Pathways departments as well as supporting on key projects where applicable.

This role requires flexibility, attention to detail, and excellent communication skills to effectively balance the needs of multiple managers while providing a high level of customer service to our members.

Responsibilities

As the Office and Administration Coordinator you will be responsible for:

Administration and Finance Support

  • Ensure a Well-Functioning Office Environment: Oversee daily office operations to maintain a productive, organised, and efficient work environment. This includes coordinating office supplies, managing facilities, and addressing any operational needs promptly.
  • Provide Administrative and Financial support to the GM - Corporate Services: Assist with essential finance functions, ensuring accuracy, compliance, and timeliness. Key responsibilities include:
    • Accounts Payable & Receivable: Process invoices, manage payments, and track receivables, maintaining accurate and timely data entry.
    • Bank Reconciliations: Conduct regular reconciliations to ensure bank records are accurate and discrepancies are promptly identified and resolved.
    • Data Entry & Record Maintenance: Keep financial transaction records up-to-date, ensuring they align with organisational policies and standards.
  • Deliver Proactive Member Support: Assist the GM - Community by efficiently managing and directing member phone calls and online enquiries. Ensure each enquiry is handled promptly and forwarded to the appropriate team member or department for a quick response, supporting an excellent member experience.

Performance and Pathways Support:

  • Provide Comprehensive Administrative Support to the GM - Performance and Pathways: Assist the GM in managing daily operational tasks to ensure the smooth running of the Centre of Excellence (COE), including:
    • Maintain and Optimise the Centre of Excellence’s CRM: Oversee the CRM system by ensuring all membership data is up-to-date, accurate, and supports the COE's reporting and administrative needs.
    • Deliver a High-Quality Customer Service Experience for Current and Future Members: Serve as the first point of contact for the COE, handling membership enquiries, supporting the booking process, and addressing general queries to provide a seamless customer experience. Ensure all interactions are handled professionally, creating a positive impression at every touchpoint.
    • Manage Member Communications for the COE: Coordinate and distribute regular communications to members, ensuring timely and relevant updates about programs, services, and upcoming events.
  • Support the GM - Performance and Pathways in State Team Coordination: Provide administrative assistance in planning and coordinating State Team activities. This includes preparing team selection documentation and facilitating communications to ensure smooth organisation and execution of team-related events.

Key Selection Criteria

  • Excellent written and verbal communication skills
  • Strong project management skills with the ability to prioritise and manage multiple projects simultaneously
  • Ability to work collaboratively with other departments and external partners
  • Experience working in a fast-paced, deadline-driven environment
  • Strong attention to detail and commitment to quality
  • Current Working with Children Check
